At Vivian Solutions Co. ("we", "our", "us"), we are committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, with whom we share it, and what your rights are.

By using the Vivian application ("the Application"), you accept the practices described in this Policy.


1. Information We Collect

1.1 Information you provide directly

  • Name, age, location, email — Beta program registration
  • Role (deaf person, hearing, institution) — Beta program registration
  • LSM level, literacy level — Beta program registration
  • Company/institution (if applicable) — Beta program registration
  • Reason for visit — Beta program registration
  • Email and password — Account creation
  • Username — Account creation
  • Written text for translation — Application usage
  • Voice recordings — Voice dictation feature usage
  • Feedback and comments — Submitting feedback on translations

1.2 Information collected automatically

  • Device identifier — Identify guest user sessions
  • Device model, operating system, screen size — Optimize experience for your device
  • GPU information, available RAM, battery state — Performance diagnostics and optimization
  • IP address — Determine approximate geographic location
  • Approximate geographic location (country, region, city, timezone) — Personalization and usage statistics
  • Translation history — Improve the service and enable favorites
  • Performance metrics (latency, response times) — Internal quality monitoring

1.3 Information from third parties

  • Google or Apple: when you sign in with these providers, we receive your email and name as authorized by you.

2. How We Use Your Information

We use the collected information for the following purposes:

2.1 Service delivery - Process your translation requests from Spanish to LSM. - Transcribe your voice to text. - Maintain your translation history and favorites. - Authenticate and manage your account.

2.2 AI model training and improvement - The translations you perform (input text and sign language output) will be used to train and improve Vivian's artificial intelligence model. - Translation data is stored in our shared cache system and used as a knowledge base to improve future translations. - Semantic representation vectors (embeddings) are generated from your texts to improve synonym search and translation quality.

2.3 User experience (UX) improvement - The data we acquire from you will be used for the improvement of Vivian's model and ultimately the improvement of the user experience. - We analyze feedback and usage patterns to identify areas for improvement. - Your device metadata helps us optimize Application performance. - We use quality scores (likes/dislikes) to refine inadequate translations.

2.4 Communications - Send you notifications about your Beta program access. - Inform you about changes to our Terms or Privacy Policy.

2.5 Security and compliance - Prevent fraud and abusive use of the service. - Comply with applicable legal obligations.


3. Legal Basis for Processing

We process your personal information based on: - Your consent, granted by accepting this Policy and the Terms of Use. - Performance of the service you request when using the Application. - Our legitimate interests in improving the AI model and user experience. - Legal obligations when required by law.


4. Data Sharing with Third Parties

We share data with the following service providers, who process it under their own privacy policies:

  • Supabase (Database and auth) — Account data, translations, history, feedback → Storage and user management
  • OpenAI (GPT-4 and Whisper) — Translation text, voice recordings → Translation generation, speech transcription, embeddings
  • Amazon Web Services (AWS) — All API traffic, animations → Server infrastructure and storage
  • ip-api.com — IP address → Approximate geolocation

We do not sell your personal information to third parties. We do not share data for third-party advertising purposes.


5. Data Storage and Retention

  • Account data: retained while your account is active.
  • Translations: stored indefinitely in our cache system and may be used as anonymized training data, even after your account is deleted.
  • Voice recordings: processed in real-time through OpenAI Whisper and are not permanently stored on our servers.
  • Feedback: retained indefinitely to improve the model.
  • Beta program data: retained for product analysis and improvement.
  • Geolocation data: associated with your profile while your account is active.

6. Your Rights

In accordance with applicable law, you have the following rights:

  • Access: request information about the personal data we hold about you.
  • Rectification: correct inaccurate or incomplete data.
  • Deletion: request deletion of your account and associated data. You can do this directly from the Application. Note: data already incorporated into the training model in anonymized form cannot be individually removed.
  • Objection: object to the processing of your data in certain circumstances.
  • Portability: request a copy of your data in a structured format.

7. Guest Users

If you use Vivian without creating an account: - An anonymous device identifier is assigned to you. - Your translations, history, and feedback are collected and associated with that identifier. - Data collected is used in the same manner for model training and UX improvement. - You will not be able to exercise access, rectification, or deletion rights over data linked exclusively to a device identifier.


8. Information Security

We implement technical and organizational security measures that include: - Encrypted communication via TLS/HTTPS. - Secure authentication through Supabase with JWT tokens. - Row-level security (RLS) policies in the database. - Restricted access to production data.

However, no system is completely secure. We cannot guarantee the absolute security of your information.


9. Children

Vivian is not directed at children under 13 years of age. We do not intentionally collect information from children under 13. If we discover that we have collected data from a child under 13, we will promptly delete it. If you are a parent or guardian and believe your child has provided us with personal information, please contact us.


10. International Transfers

Vivian Solutions Co. operates from the United States of America. Your data may be processed on servers located in the United States and other jurisdictions where our infrastructure providers (AWS, Supabase, OpenAI) are hosted. By using the Application, you consent to this international data transfer.


11. Cookies and Local Storage

The mobile Application uses local device storage (AsyncStorage) to save session tokens and preferences. The web version may use session cookies necessary for the operation of the service.


12. Changes to This Policy

We reserve the right to update this Privacy Policy at any time. Changes will be published in the Application with a new effective date. Continued use of Vivian after publication of changes constitutes your acceptance.
